Why HOAdesk exists
The problem
HOA software charges per unit, every month, forever: a 40-unit community paying $4 a door spends $1,920 a year, and the association's records, ledgers and ballots live on someone else's platform. Self-managed boards that refuse to pay that end up with a shared inbox, a spreadsheet of dues and governing documents attached to emails.
The outcome
HOAdesk turns the association's own WordPress site into its resident portal. Every lot or unit has its owners (with ownership history) and residents, with vehicles, pets and emergency contacts; one click invites a person and creates an account with the right role. Members get a portal with announcements, a documents library restricted by audience (everyone, residents and owners, owners only, board only) and stored outside the public uploads folder, a community calendar with an iCalendar feed, meeting notices emailed automatically and a minutes archive, maintenance requests with photos from a phone, and architectural requests the board reviews within a deadline and decides with a generated decision letter PDF. Announcements go out to all owners, all residents, the board or one building through a queue that never times out on shared hosting. Everything in the free plugin works without limits.
Capabilities
What HOAdesk does
Everything HOAdesk does today, in the free edition unless marked Pro.
-
Units and people
Every lot or unit with address, building, type, assessment share and votes; owners with ownership history and residents with vehicles, pets and emergency contacts; CSV import; an opt-in member directory.
-
One-click invitations
Invite anyone and an account is created with the right role (Resident, Owner, Board Member, Manager); they only set a password. Board members work the day to day, managers change settings.
-
Resident Portal block
Announcements, documents, calendar, meetings and minutes, maintenance and architectural requests, directory, board roster and profile in one block, plus a block and shortcode per section. Visitors see only what you mark public.
-
Documents by audience
Bylaws, CC&Rs, rules, minutes, budgets, insurance and forms, each for everyone, residents and owners, owners only or board only, stored outside the public uploads folder and streamed only to people allowed to open them. Replacing a file keeps the previous versions.
-
Maintenance requests
Members report common-area problems with photos from a phone. The board acknowledges, assigns, adds private notes or replies, puts on hold, resolves and closes, with email at each step.
-
Architectural requests with decision letters
Owners submit plans and photos. The board reviews within a deadline, asks for more information, then approves, approves with conditions or denies; the decision letter is generated as a PDF, stored with the request and emailed.
-
Meetings, announcements and calendar
Board, annual, special and committee meetings with an agenda, notices emailed automatically N days before and minutes linked to the meeting; announcements emailed to owners, residents, the board or one building through a queue; a calendar block with an iCalendar feed.
-
Privacy, REST API and WP-CLI
WordPress privacy export and erase, every email template editable with a test button, a hoadesk/v1 API with a permission check on every route, and wp hoadesk seed for a demo community.
-
Dues, ledgers and payments Pro
Schedules and special assessments posted automatically, late fees, an owner ledger with receipts and PDF statements, and card or ACH payments through Stripe Checkout into the association's account with autopay and refunds.
-
Violations and ARC voting Pro
Violations with photos on an escalation ladder with fines posted to the ledger and appeals from the portal; committee votes on architectural requests with quorum and a deadline.
-
Reservations, elections and vendors Pro
Amenity bookings with rules, fees, deposits and approval; elections with one ballot per unit, proxies, quorum, certification and receipt codes; vendor licence and COI expiry alerts.
-
Resale packages and reports Pro
Account statement, governing documents and recent minutes zipped for the title company with the fee collected first; reports on collections, delinquency aging, violations and ARC turnaround with CSV export.

FAQ
Frequently asked questions about HOAdesk
Short, factual answers. Anything else, ask us.
What is the cheapest HOA portal for a self-managed board?
The free HOAdesk plugin is a complete resident portal on the association's own WordPress site at no cost. HOAdesk Pro adds dues, payments, violations and voting for $299 a year or $29 a month, whatever the number of units; per-unit HOA software costs a 40-unit community around $1,920 a year.
What is HOAdesk?
HOAdesk is a WordPress plugin that turns an association's own site into its resident portal: every unit with its owners and residents, one-click invitations, a documents library by audience, announcements, a calendar, meeting notices and minutes, maintenance requests and architectural requests with decision letters. Pro adds dues, card and ACH payments, violations, voting, reservations and resale packages.
What problem does HOAdesk solve?
HOA software charges per unit, every month, forever, and keeps the association's records, ledgers and ballots on its own platform. HOAdesk gives a self-managed board the same tools on a site it owns, for one flat price regardless of the number of units.
Do I need HOAdesk Pro?
No. The free plugin is the whole portal: units, owners and residents, invitations, the directory, documents by audience, announcements, calendar, meetings and minutes, maintenance requests and architectural requests with decision letters, without limits. Pro adds dues, payments, violations, ARC voting, reservations, elections, vendors, resale packages and reports.
Do you charge per unit or per door?
No. One flat plan price whether the community has 12 units or 400. A 40-unit community paying $4 per unit per month to a SaaS spends $1,920 a year; HOAdesk Pro is $299.
Where does the money go?
Straight into the association's own Stripe account. HOAdesk never touches, holds or takes a cut of payments; Stripe's normal card and ACH fees apply. Owners can pay from a bank account once ACH Direct Debit is on in Stripe, and the board records cheques and cash on the ledger with the same numbered receipt.
Who can see what?
Each document, announcement, event and meeting has an audience: everyone, residents and owners, owners only, or board only. Files live outside the public uploads folder and are streamed only to people allowed to open them. Residents get WordPress accounts when you invite them; they only set a password.
Is electronic voting legally compliant?
HOAdesk records one ballot per unit, weights, proxies with the signed form, quorum, timestamps and a receipt code for every ballot, and exports the audit trail. Whether electronic voting is permitted, and on what notice, is set by your state law and governing documents; check with your attorney.
What happens if I cancel Pro?
Pro features and updates pause seven days after the subscription lapses. Nothing is deleted: ledgers, violations, ballots and reservations stay readable and the free plugin keeps running the portal. Payments already started in Stripe are still recorded.
Is HOAdesk free?
Yes. The free edition of HOAdesk is the complete product with nothing locked or time-limited. HOAdesk Pro is a paid add-on with these plans: Pro – monthly at $29 / mo, Pro – yearly at $299 / yr, Agency – monthly at $89 / mo, Agency – yearly at $899 / yr.
What does HOAdesk Pro add?
HOAdesk Pro adds dues and assessments, card and ACH payments, violations logged from a phone, ARC board voting, amenity reservations, elections and motions, vendor compliance, resale and estoppel packages, reports, and automatic updates with a license key. Pro covers one community, Agency covers unlimited communities and one activation covers a whole WordPress network.
Where does HOAdesk run?
HOAdesk is a WordPress plugin. It requires WordPress 6.6 or newer and PHP 8.1 or newer. It works with Stripe.
