StudioBeat

Weekly lesson slots, terms and make-up credits for music, tutoring, dance and art studios.

WordPress 6.6+ · PHP 8.1+ · Stripe · WooCommerce · WordPress

StudioBeat, The studio calendar, week view by teacher: attendance shows on each lesson, cancelled lessons are struck through.

The problem

Generic booking plugins treat every lesson as a one-off appointment. A lesson studio runs on recurring weekly slots for a whole term, make-up credits under a written policy, family accounts with several students, and attendance the parents can see. Studio SaaS does this for a monthly fee per student; nothing WordPress-native did it well.

What we built

StudioBeat gives a studio its real model: teachers, rooms and instruments; terms with closures; a weekly schedule where each student holds a teacher, day, time and room for the term, with clash detection across teacher, room and student while you type; families with several students and one login; attendance per lesson; and make-up credits issued automatically by the studio's own policy (notice window, limit per term, expiry).

Parents get a portal block: the weekly schedule, upcoming lessons with self-service absence reporting, attendance history, credits and make-up booking into open times. The freed time of a reported absence is offered to other families. Staff get a day and week calendar by teacher or room, a daily attendance screen and email notifications for credits, make-ups and absences.

Payments use WooCommerce when it is active, otherwise built-in Stripe Checkout with saved cards. Everything in the free plugin is fully functional. StudioBeat Pro adds term billing with payment plans, a family ledger, online enrollment with deposits, trial lessons, a waitlist, recitals, lesson notes, SMS reminders and payroll and utilization reports.

Capabilities

Everything StudioBeat does today.

  1. Teachers, rooms and subjects

Teachers with colours, hourly rates and the instruments or subjects they teach; rooms with capacity; lesson lengths (30/45/60 min or your own) with a price each.

  2. Terms and closures

Start and end dates, holidays and closures, an optional number of lessons per term. Lessons are generated for every week of the term and skip closures; adding a closure later cancels the lessons inside it.

  3. Weekly schedule with clash detection

Each student holds a teacher, weekday, time and room for the term. Teacher, room and student conflicts are checked while you edit, including mid-term starts and early leavers.

  4. Families

One parent login, several students, shared schedule, credits and billing. Create the portal login when you add the family or link an existing user.

  5. Attendance

Present, absent or teacher-cancelled per lesson from the calendar or the daily attendance screen; absences record when the family gave notice.

  6. Make-up credits by policy

Notice window, maximum credits per term, expiry, whether teacher cancellations and closures credit. Credits are issued automatically; families spend them on open times in the portal.

  7. Parent portal block

Weekly schedule, upcoming lessons with self-service absence reporting, attendance history, credits and make-up booking. The shortcode [studiobeat_portal] works in classic themes.

  8. Studio calendar

Day view by teacher or room, week view, move or cancel single lessons, add one-off and trial lessons by double-clicking a free time.

  9. Notifications

Emails for credits issued, make-ups booked or cancelled and reported absences, to families, teachers and the studio; every message filterable.

  10. Payments layer

WooCommerce when it is active, otherwise Stripe Checkout with saved cards and a signature-verified webhook. Add-ons use it for invoices and deposits.

  11. REST API, WP-CLI and privacy tools

Every route checks capabilities; wp studiobeat seed loads a demo studio; the personal-data exporter and eraser cover families and students.
