CellarClub documentation

Current version 1.0.0 · WordPress 6.6+ · PHP 8.1+ · Updated October 19, 2026

CellarClub runs a wine, cider or spirits club on WooCommerce: tiers, a signup page with a 21+ check and card on file, member pricing, a member portal, releases, batch charging, fulfilment exports and a compliance layer that follows your shipping rules. CellarClub Pro adds bottle swaps, failed-payment recovery, pick-up parties, allocations, skip and pause, a tasting-room kiosk, reports and a ShipCompliant adapter. This guide gets your first release charged.

Requirements

  • WordPress 6.6 or newer, PHP 8.1 or newer, WooCommerce 9 or newer (HPOS compatible).
  • A WooCommerce payment gateway that saves cards: Stripe (recommended), Braintree, Square, Authorize.net, PayPal and others.

Install

  1. Install and activate WooCommerce, and enable a gateway that saves cards under WooCommerce → Payments.
  2. Download the free plugin from the CellarClub product page, or install it from the WordPress plugin directory once listed. Plugins → Add New → Upload Plugin, choose the zip, install and activate.
  3. Open CellarClub → Dashboard. The getting-started checklist checks your real setup (payments, tiers, states, pages, emails, first release) and links to each step. CellarClub → Guide explains every task in plain language.

Quick start

  1. CellarClub → Tiers: create your tiers with bottles per shipment, shipments a year, member and shipping discounts, pick-up and an optional signup fee.
  2. CellarClub → Settings: enter the club name and pick-up location, list the states your shipping permits allow (or install a compliance adapter), set club shipping, and choose the signup and portal pages.
  3. Add the Club Signup block to the signup page and the Member Portal block to the portal page (or [cellarclub_signup] and [cellarclub_portal]). Members sign up, confirm they are 21 or older and save a card; the membership activates once the card is on file.
  4. Moving from another platform? CellarClub → Members → Import CSV takes a CSV. Run a dry run first, then send invites so members set a password and add a card.
  5. CellarClub → Releases → Add: set the cut-off, charge and ship dates, and the default package for each tier. Open the release so members are emailed, then press Prepare shipments.
  6. After the cut-off, press Charge. Members are charged in the background, one WooCommerce order each; you get a summary email and failures show under Needs attention.
  7. Download the shipping CSV, pick list and packing slips from the release, then import tracking numbers to mark boxes shipped and email members.

Want to see it full first? wp cellarclub seed --reset loads a demo winery with tiers, members, a charged past release, an open release and a draft.

CellarClub Pro: activation and updates

  1. Buy a plan on the CellarClub product page: Pro for one winery site, Agency for unlimited sites. The Lemon Squeezy receipt has your key and cellarclub-pro.zip.
  2. Upload and activate the Pro plugin next to the free one.
  3. Paste the key under CellarClub → License and press Activate. Updates arrive through Dashboard → Updates from hexcorp.io. To move a license, deactivate it on the old site first.

If a subscription lapses, Pro features and updates pause seven days later. Nothing is deleted and the free plugin keeps running your club.

Setting up the Pro features

  1. CellarClub → Settings → Pro holds every Pro option: retry schedule, skips and pauses, the retention offer, swap defaults, pick-up conversion, the kiosk PIN and ShipCompliant.
  2. Swaps: on each tier you can override the minimum bottles and the price floor; on each release choose the swap pool, or let members swap from the whole catalogue. Members see a Customise button in the portal until the cut-off.
  3. Recovery: under Settings → Pro set the retry schedule (1, 3 and 7 days by default). Declined members get a card-update email on each try; what is left after the schedule appears under CellarClub → Recovery.
  4. Pick-up parties: open CellarClub → Pick-up on a tablet on the day. After the deadline, convert unclaimed boxes to shipping; each gets a fresh shipping-rules check.
  5. Allocations: create an allocation with priority windows per tier and per-member and total limits. Claims are recorded from real orders.
  6. Kiosk: set the kiosk PIN under Settings → Pro and open the kiosk page on a tablet at the bar. Staff check the guest’s ID; the guest gets an email to set a password and add a card.
  7. ShipCompliant: turn it on and enter your credentials under Settings → Pro, then press Test compliance. Every shipment is then checked before charging and committed after payment.

WP-CLI

wp cellarclub status # club and release summary
wp cellarclub charge <release> # charge a release now
wp cellarclub import <file> --dry-run
wp cellarclub export --file=members.csv
wp cellarclub pro reports # Pro

Compliance and accessibility

CellarClub never decides shipping legality itself. It asks a compliance adapter and records the answer at signup, at checkout and before every charge; your shipping permits and your compliance provider decide. Cards stay with your payment gateway and CellarClub stores only the gateway’s token reference. Member and admin screens are tested for WCAG 2.1 AA with axe-core, with labelled controls and keyboard access throughout.
